Hints on organising a round of the Leisure League.
The 2007 calendar is already published with dates that cannot
be changed and although the start points and times are listed
they can be changed with the right amount of advance notice.
First select the round that you agree to run and advise the Leisure
Director by phone or email.
One month before the event submit details of the start point and
start time so they can be published on the IVCA web site. If the
start point differs from the start point in the calendar please
bare in mind that most participants like to cycle to the start.
However there are some who will arrive by car so car parking must
be available for the duration of the cycle.
Two weeks before the event submit a brief outline of the route
and distance. The route should be suitable for leisure/touring
and try to avoid busy roads and built up areas. As it will not
be possible to predict the number of participants in advance always
remember how other road users might react when they approach a
group of cyclists on the road. The distance should remain close
to the distance published in the leisure calendar.
On the morning of the event, arrive 30 minutes before the start
to give enough time to get the names of all cyclists and to advise
them of the intended route. A map of the route should be available
to all at the start, the format is not important as most won’t
read it, it is simply in case anyone gets dropped and has to find
their own way home. If there are non IVCA members taking part
or members without insurance they should be advised that the event
does not have insurance cover and each person is responsible for
their own safety and the safety of others and the rules of the
road apply. The event is not a race it is a leisure/tour that
will be controlled at leisure pace.
On the cycle the speed should be controlled to leisure pace and
all should be encouraged to take turns at the front. If someone
calls a puncture or other mechanical defect a stop is optional,
only stop in a safe place and do not block the roadway or obscure
road junctions or road signs. Encourage the front runners to call
back hazards ie pot holes, traffic lights and parked cars. If
there is a Pee brake it should only be in a safe place away from
houses and remember to respect people’s property, we don’t
want to get cyclists a bad name.
The group may get split up on the way home and this is almost
impossible to prevent however try to keep in touch with all groups
in case someone gets into trouble and investigate all incidents.
A strong scout may be the best to assist here.
After the event make out a brief report of how the day went to
include all incidents, the number of participants, the weather,
the route and any other item of interest. Email this report to
the Leisure Director for publishing on the web site and include
a full list of all participants.
